DrexelMed SGA Calendar
The DrexelMed SGA Calendar is an attempt to unify the schedules of the various SGA groups, in order to avoid conflicts.
There are actually two different calendars: the Master calendar and the Custom calendar.
- The Master calendar lists all of the calendars registered with the SGA. This view allows users to see all of the events occurring on any given day. It should also aid in avoiding scheduling conflicts between groups.
- The Custom calendar is personalized for each student. Each student manages a list of which calendars they wish to see on their custom calendar view. Students with a GMail account or a Drexel GLink* account can even add their own default calendar to the view.
All calendars registered on this site are really just Google calendars. Anyone with a GMail account or a Drexel GLink* account can add a calendar to the DrexelMed SGA Calendar**. Simply follow these steps:
- Log into your GMail account or a Drexel GLink* account.
- Click the Calendar link at the top left of the screen.
- About halfway down the screen on the left-hand side, you will see a small section labeled "My Calendars". Click the "Create" link on the lower right of that section.
- Give the calendar a name and description.
- IT IS VERY IMPORTANT THAT YOU MAKE THIS CALENDAR PUBLIC. Otherwise, no one will be able to view the calendar on the SGA site. Make sure you check the box that reads "Make this calendar public".
- If you are creating this calendar from a Drexel GLink account, you must make sure that the drop down box next to "Make this calendar public" reads "See all event details" (NOT "See only free/busy (hide details)"). If the drop-down reads "See only free/busy", no one will be able to see the calendar on the SGA site.
- Likewise, if you create the calendar from a GMail account, you must make sure that the box labeled "Share only my free/busy information (Hide details)" is NOT checked.
- It is highly recommended that you add sga.tech.officer.drexelmed@gmail.com as an administrator of your calendar. This will allow me to figure out any problems which might arise, without you having to do all the work. To do this:
- Look for the section labeled 'Share with specific people'
- Enter 'sga.tech.officer.drexelmed@gmail.com' in the area marked 'Enter email address'
- Change 'Permission Settings' to 'Make changes AND manage sharing'
- Click 'Add Person'
Now you just have to add your new calendar to the SGA Calendar:
- You will need the Google ID for your new calendar. To get this ID, follow these steps:
- Log into your GMail account or a Drexel GLink* account.
- Click the Calendar link at the top left of the screen.
- About halfway down the screen on the left-hand side, you will see a small section labeled "My Calendars". Click the "Settings" link on the lower left of that section. Then click the link for your new calendar.
- Towards the bottom of your screen, you will see a section labeled "Calendar Address:". In that section, you will see some text in parentheses that looks like "(Calendar ID: o4tyrbqhb53q7c51egp52tl23o@group.calendar.google.com)". Your calendar's ID is everything after "Calendar ID: " (in this case, the ID is "o4tyrbqhb53q7c51egp52tl23o@group.calendar.google.com"). Copy the ID. You will need in for step 5 below.
- Go to the add/edit calendar page.
- In the "Select a calendar" drop-down box, select "New calendar..."
- Enter a brief name for the calendar, a description for the calendar and user the "Color Chooser" to pick a color for your calendar. Your calendar will appear in this color in the master calendar. However, each user can set a custom color for your calendar in their custom calendar.
- In the ID section, enter the Google ID that you copied in step 1 above.
- In the "Admins" section, you can enter the userids (as in 'nmc42' or 'pmc37') of any users that you want to be able to edit the information on this page. Simply enter the list of userids separated by commas or spaces. Do not include @drexelmed.edu or @drexel.edu.
- NOTE:This does NOT allow those users to edit the calendar events. That can only be done via the Google account that created the calendar.*** These 'admins' can only change the information on this page, like the 'Name', 'Description' or 'Color' for this calendar on the SGA site.
- Save your calendar.
- Go to the master calendar to see that your calendar appears.
- You can always return to the add/edit calendar page to edit any of the above information.
*: You can activate your Drexel GLink account by going to http://accounts.drexel.edu.
**: Each Student Interest Group should create a Drexel GLink account for the group. This gives students one email address to use to contact the group, and also lets you create a group calendar that can be posted on the SGA site. You can give the account password to each of the group leaders, and set up multiple email filters so that email sent to the group account is forwarded to each of the group leaders at the same time. Simple, right?
***: Actually, in your Google account, you can list other users that can edit the calendar's event. See the Google documentation for more information on this.
